Job Title: Experienced Orthopedic Medical Assistant / Surgical Scheduler
Job Summary:
We are seeking an experienced and motivated Medical Assistant with a strong background in orthopedics and surgical scheduling to support our busy orthopedic practice in a hybrid role. The ideal candidate will split their time between clinical duties and administrative work, providing seamless support to an orthopedic spine surgeon and patients throughout the pre- and post-operative process.
Knowledge: Current basic knowledge of medical procedures, instruments and drugs. Knowledge of customer service, health care and confidentiality regulations, computer and equipment technology, clerical knowledge, knowledge of the English Language to speak, write, read, and understand policies, communications, medical orders, etc., general knowledge the human body, and cultural awareness.
Skills: Must be able to type 30 WPM
Abilities: Organization and categorization to sort and group items such as stock or supplies. Ability to work collaboratively in a team-oriented environment. Ability to comfortably and effectively interact with diverse populations. Must be able to handle patient and organization information in a confidential manner. Ability to demonstrate competency with a standard desktop and Windows-based computer system including but not limited to email, e-learning, intranet and computer navigation. Ability to use other software as required while performing essential functions of the job.
Key Responsibilities:
Clinical:
- Assist orthopedic providers with patient intake, exams, cast/splint applications, injections, and minor in-office procedures.
- Take and record vital signs, medical history, and orthopedic-specific documentation.
- Prepare exam rooms and maintain clinical supplies and equipment.
- Provide post-visit education and instructions to patients, including brace care and post-op guidelines.
Surgical Scheduling
Coordinate all aspects of surgical scheduling: booking procedures, securing OR time, and confirming with hospitals/surgery centers.
- Obtain prior authorizations and verify insurance coverage for surgeries and procedures.
- Schedule pre-op testing, clearances, and imaging (MRI, X-ray, CT).
- Serve as a point of contact for patients with surgical questions or concerns.
- Ensure all documentation (consents, referrals, medical records) is accurate and complete before surgery.
- Follow up on post-operative appointments, physical therapy referrals, and any surgical complications.
Speaking skills to convey information; active listening skills to understand and respond appropriately; able to perform equipment maintenance and reassembly; ; observation skills; mathematics skills to perform simple addition, subtraction, multiplication, division and averaging problems; locating information skills to find, fill in, compare or summarize information found in related graphics and an electronic health record. Effective communications and writing skills as appropriate for the needs of a diverse audience. Good organizational skills to work under time constraints.
Qualifications:
- Certified Medical Assistant (CMA, RMA, or equivalent) preferred.
- 3+ years of experience as a medical assistant, with 1+ year in orthopedic surgical scheduling preferred, but will train.
- Familiarity with orthopedic procedures, terminology, and durable medical equipment (DME) preferred.
- Proficient in EMR systems (e.g., Epic) preferred.
- Strong communication, organizational, and multitasking skills.
- Independent/self-starter.
Preferred Experience:
- Prior experience working with orthopedic surgeons or in an orthopedic practice, preferred.
